Amp up your internal communication with these 5 apps.

Hello, everyone, my name is Levi and I’m going to be starting these lists and reviews and sharing them with you every week. To help you hack into the full productivity everyone has to offer. Today we will be doing this by hacking into our office communication with a few simple apps. No matter what kind of work environment we are in, whether is be a Small office at a church or a large corporation, communication is the key to success. Here are a few apps that help create flawless communication throughout the work environment, both internally and externally. Let’s get started!

1. Dialpad– dialpad.com

First I want to start with Dialpad; Dialpad is a paid computer phone system that allows you to have a dedicated phone number for both the office as well as each user on the system. It has many great features that make it a great system, as well as it being easy to use. It allows the office to have a number which rings all users as well as the ability to have individual numbers for each user. It gives the users the ability to place callers on Hold as well as Hold music to be selected. It gives the user the ability to transfer calls to the user’s contacts or others in the office. Dialpad also has an instant messaging service like texts messages to be sent straight from Dialpad to any phone number or contact. It also has a voicemail feature. One of the great things about Dialpad is that it can be downloaded as an app on any computer or mobile device allowing for ease of use.

  1. Cons: Dialpad is a paid system. (About $15 per user. Which isn’t bad for the features.)
  2. Pros: Dialpad is going to act like any other phone service but gives you actual analytics.
  3. My two cents: If you are willing to spend a little of money this in my limited experience is the best phone services I have come across, and is a complete system.

 

2. Google Hangouts– hangouts.google.com

Next, I wanted to look at what google has to offer since google seems to have its hand into everything. Google hangout is a lot more of a social media based product but has some simple features that could work in the same type of manner as a product like Dialpad giving each user a dedicated phone number and having the ability make as well as receive phone calls on the computer. The Cons being that this is a web app and a web browser window has to remain open to google hangout for this to work. As well, it is a little bit more tricky to get set up as well less office like phone abilities, like the ability to put callers on Hold or Transfer the caller to a different user in the office. The Pro to this is, it is free, and this is the reason I have decided to keep it on the list. If you are looking for a way to get a simple phone service at no cost, Google has got you covered. Thanks, Google!

  2. Pros: It is a free service and would work as a phone.
  3. My two cents: If you are unable to spend any money or are trying to save money and are willing to live with limited features this will accomplish the intended purpose.

 

3. HipChat– hipchat.com

Next, let us turn out attention on internal communication; HipChat is an internal messaging system to help with office communication and integration. It is a free service with a ton of integration options, like Giphy that allows users to send gifs back and forth in the office such as kittens or flying pizza, and everyone knows flying pizza is a necessity.

HipChat is a super simple base for communication allowing for everyone in the office to communicate directly to one another, as well as in groups. Cons are, it is a really simple product with the ability to become very complicated. Pros, HipChat has the ability to be complicated and to be turned into a variety of different things. Like the ability to be integrated and linked to tons of other product with all type of uses, from google drive adding the ability to create and share documents with other users, to the integration that lets you track the Facebook pages that you manage, letting you know when someone posts, comments on your posts or replies to your comments, as well as many other products.

  1. Cons: It is a really simple product with the ability to become very complicated.
  2. Pros: HipChat has the ability to be complicated and to be turned into a variety of different things with its integration systems.
  3. My two cents: This could be a great system if someone was trying to integrate other systems into one. In which I would just recommend comparing HipChat and Slack to see which system works best with systems they wanted to integrate.

 

4. Slack– slack.com

Slack is almost identical to HipChat, it looks a little bit more refined and cleaner than HipChat but works in almost the same way. It is simple, to begin with, but can be made complicated very quickly. Slack is very customizable and very capable to become much more than just a communication system. Pros, Slack has the ability to be complicated and to be turned into a variety of different things. It seems to have lots of help options to make the experience more enjoyable. Cons, it is a paid service to get all the benefits slack has to offer, as well as it has the potential to be very compacted.

  3. My two cents: This could be a great system if someone was trying to integrate other systems into one. In which I would just recommend comparing HipChat and Slack to see which system works best with systems they wanted to integrate.

 

5. Quip– quip.com

Now last but not least I would have to say this is the most complete instant messaging system we have looked at today. Quip is a free instant messaging system that allows everyone in the office to communicate as well as build and edit documents together or privately with the ability to let other individuals view and edit private documents if desired, and its all in one place for ease of use. In fact, I’m writing this entire post in Quip and I have it shared with my boss ( Hi Dan!), so he could edit this out in the final draft. It also has a built-in gif feature which is awesome!


For an Office setting, this is the easiest to understand and the best looking and easy flowing layout of all the instant messaging systems reviewed. Though they are all very similar systems, Quip is the simplest and not in a bad way, with the best features for the price (free) I would have to recommend Quip. Cons, not as customizable as some of the other systems and doesn’t have the same integration features that some of the other systems have. Pros, it is simple and has some great built in features which almost eliminates the need for integration.

  3. My two cents: Out of the three instant messaging systems reviewed here I would recommend Quip 9 out of 10 times. The only reason I wouldn’t recommend Quip is if someone was looking for a system that could be integrated into other systems already in use.
